Deveron River Brass is a registered Scottish charity (SC041032). This notice explains what personal information we may hold, why we use it and how we protect it.
Information we may collect
Depending on how you are involved with the band, we may hold:
- contact details supplied with booking or general enquiries;
- member contact details;
- emergency contact details; and
- information required for child protection and safeguarding.
The website does not currently operate a mailing list, accept online payments or collect information through an online contact form. If you contact us using WhatsApp or Facebook, those services also process information under their own privacy terms.
How we use information
We use personal information only where it is needed to:
- reply to enquiries and discuss bookings;
- manage band membership and communication;
- organise rehearsals, performances and other band activities; and
- support safeguarding, child protection and safety.
Our reasons for using information may include your consent, the band’s legitimate interests in managing its activities, safeguarding responsibilities, legal obligations and protecting someone in an emergency.
Who can access information
Access is limited to relevant committee officers and the Child Protection Officer where their role requires it. We do not sell personal information.
Information may be shared outside the band where you have given permission, or where it is necessary in an emergency or for safeguarding. Website hosting, security and backup providers may process limited technical information while providing their services.
How long we keep information
We keep personal information only for as long as it is needed for the purpose for which it was collected. Membership and emergency contact details are reviewed as circumstances change. Enquiry details are not kept longer than reasonably necessary. Safeguarding and child-protection records are retained in line with applicable legal and safeguarding requirements.
Keeping information secure
We take reasonable steps to prevent unauthorised access, loss or misuse. Access is restricted to people who need the information for an authorised band role.
Your rights
Depending on the circumstances, you may have the right to ask for a copy of your personal information, have inaccurate information corrected, ask for information to be deleted or restricted, or object to how it is used.
